This guide will walk you through setting up your Funnelfly account! These steps will walk you through the important beginning phase of Funnelfly's marketing automation platform.

Getting Started

1) To get started, you will need to sign up using your personal Gmail or business Gmail account.

2) Next, you need to fill out the business contact information and click Create account.

3) Now you're going to need to set up your Sequences, which can be found by navigating to Outbound in the menu.

Sequences are the series of drip email messages that are sent to your leads in order to complete a certain goal. These are your automated sales engines for success.

Both Sequence and email copy templates are provided for quick launch, but setting up your own Sequences can also be done without the use of our templates if you choose. If you would like to begin by importing existing templates from our Sequence library, select BROWSE CONTENT LIBRARY to view the templates. More information on our Content Library can be found here.

NOTE: If you would like to create new Sequences with your own copy and cadences, you can choose CREATE SEQUENCE and then skip to Step 5.

4) To use the email copy templates that are provided, simply choose the Sequence you like and click on it. You will need to set the delay on the email messaging before you set it live. Simply click on EDIT SEQUENCE in the upper right-hand corner. Then click on the CLOCK button in the corner of the first email. The delay will need to be set up on No delay to send the first email immediately or on Run on to set a specific day and time for the first email to send. For each email after the first one, you will need to click on the button for that email that allows you to automatically send the email a certain number of days after the previous email.

NOTE: Be sure to do this for each email in the Sequence to make sure that your emails automatically send on the days you want them to.

When you are satisfied with the timing, click SAVE SEQUENCE in the upper right-hand corner. If you are not creating any new Sequences, you can skip to the User Variables section.

5) To create a new Sequence, click on CREATE SEQUENCE if you have not already done so. Give your Sequence a name and a description, and then goal condition. To set up your Funnelfly account with goals, visit technical documentation.

6) Now you will need to create your first email on Step 1 - Day 1 by clicking on ADD ACTION in the right-hand corner of the step, then Send Email to create your first email. Be sure to click the Save button once you have written each email. You can also send a test email to yourself to ensure it looks correct.

6) Next, you will need to set the delay on the email messaging. The delay will need to be set up on No delay to send the first email immediately or on Run on to set a specific day and time for the first email to send. For each email after the first one, you will need to click on the button that allows you to automatically send the email a certain number of days after the previous email.

NOTE: Be sure to do this for each email in the Sequence to make sure that your emails automatically send on the days you want them to.

7) Once you have completed these steps within the Sequence, you will need to click SAVE SEQUENCE in the upper right-hand corner to make sure that your emails are saved.

Congratulations! You set up your first Sequence, and now it is time to create your second Sequence to begin moving users through your funnel. You should look at the goal on each Sequence as the bridge to the next Sequence. In other words, the user only moves to the next Sequence once they complete the goal that you previously set up.

User Variables

User variables are specific to the Contacts (Leads) you are addressing and trying to convert to paying customers. These variables include information such as User name, email address, company name, etc.

1) To ensure complete personalization (and avoid incomplete emails), make sure you review:

Item 1: Contacts for completed User Variables. You can view a filtered list of your Contacts (Leads) and get a macro view of your User Variables.

Item 2: Company Name. This information needs to be completed before adding this Contact (Lead) to a Sequence.

NOTE: If you need to send your email messages with variables but certain variables are undefined, you can set up fallbacks. The syntax is quite simple to understand:

#{{leadCompany.name fallback "your company"}}

  • leadCompany.name - Funnelfly will pull in the name of the company if it exists.

  • fallback "your company" - If the company is undefined or left blank, Funnelfly will input the words "your company" instead.

2) To access all User Variables fields for Contacts (Leads), select the name on the Contacts screen by clicking on the user's name. It will open the lead's card to show their History, Details, and Tasks assigned to members of your team to complete for this lead.

The critical User Variables needed for complete personalization include:

  • First Name

  • Last Name

  • Email address

  • Phone number

  • Company name

  • Lead value

Other (non-critical) User Variables include:

  • Signed-up date

  • Created On date

  • Owner ID

  • Close On

  • Closed Lost Reason

  • Closed Won Reason

  • Import Name

  • Source

  • Last Seen On

  • First Seen On

  • Client IP

3) You can also create custom fields to track key information about a customer, custom pricing, or match your data feed via integrations by simply clicking CREATE CUSTOM FIELD on the bottom left of the lead's card.

Global Variables

Global variables are specific to your business and include things like your name, email address, meetings link, links to blog posts, and value propositions.

1) To set up the Funnelfly Global Variables, go to Settings > Email > then open the Email Variables section.

2) Global Variables should be added prior to launching your first Sequence. Global Variables begin with the prefix (us.). You can also add a hyperlink to any variable by clicking Add link to the corresponding variable.

Global Variables include:

3) You can also create custom variables by selecting New Variable to create a custom Email Variable.

4) Global Variables can be added in emails to customize and personalize the message. To add to an email, select Insert Variable where you would like to insert the Variable and then search or choose the variable from the list.

NOTE: The importance of setting up your Global Variables is for quick changes to your emails without it becoming time-consuming. If one or multiple of your Global Variables change, then you can change them in the Settings > Email > Email Variables section to update emails easily.

Setting Live

1) Select Set Live for each Sequence you want to take live on either the main Growth Journey Map screen shown below or within each Sequence.

2) Make sure you review your emails! If you imported the Sequence from our Content Library, make sure it speaks to your customer base.

3) You can make edits to the Sequence, insert variables, and add attachments by clicking on the pencil icon on the right-hand side of the subject line on each one of the emails within the Sequence.

NOTE: You will need to complete any required variable fields before setting your Sequences live within Funnelfly.

4) Connect your Gmail account to Funnelfly and personalize your email signature. You can ensure this is updated by going to Settings > Email > Gmail Settings.

5) Once your email account is connected, we highly recommend sending yourself a test email of the Sequence. You will receive a copy of each email that can be reviewed prior to sending them out to leads and customers.

6) Set your Sequence live! From here you will need to add Contacts to your pipeline. Once you assign people to a live Sequence, they will begin receiving emails!
